How to edit a Canva template you bought on Etsy

Vishra, Vishful Studio. . About 6 minutes to read.

You bought a template on Etsy and what arrived is a PDF, not a card. Here is how I take a buyer from that PDF to a finished file, the same way I would if you were sitting next to me.

What you actually bought

A Canva template on Etsy is a link, not a design file. The download is a small PDF, and inside it is a link that opens the design in Canva and lets you make your own copy. My holiday card works this way: one PDF with the template link and my download and printing guides.

Two things follow from that. You need a Canva account, and nothing about your copy changes the original, so you can experiment without worrying.

Step by step

  1. Download the PDF in a web browser, not the Etsy app. Etsy’s own help page says digital purchases can’t be downloaded through the app. Sign in at etsy.com in Safari, Chrome or any browser, open your account, go to Purchases, and choose Download Files next to the order. If you checked out as a guest, the download link is in your receipt email instead.
  2. Open the template link inside the PDF. Click the link (usually a button or a line that says it opens the template). Canva asks you to sign in if you are not already.
  3. Select Use template. This makes your own copy in your Canva account. Edit that copy, not the preview you landed on.
  4. Change the words. Click into any text box and type. The toolbar above the page changes the font, size and colour. Keep names to the length of the sample text where you can; a long family name in a script font is the most common reason a line breaks badly.
  5. Swap in your photos. Select a photo, then choose Replace in the toolbar. Pick from Uploads, or use Upload files to add a new one from your phone or computer. The photo stays inside the frame shape, so an ornament frame stays an ornament.
  6. Check the edges before you export. In the File menu, open Rulers and guides and turn on Show print bleed, then Show margins. Backgrounds should run past the bleed line. Names, dates and faces should sit inside the margin line.
  7. Download for print. Select Share, then Download. Under File type choose PDF Print, turn on Crop marks and bleed, and select Download. That PDF is the file your printer wants.
Sending it by text instead?

For a digital greeting, download a JPG (smaller file) or PNG (more detail) from the same Download panel. Crop marks only belong on a file going to a printer.

The photo question everyone asks

A phone photo is almost always big enough for a 5 by 7 card. What matters is that the photo is not a screenshot or a picture saved from a messaging app, which are often shrunk. If the photo looks soft on screen at full size, it will look soft on paper. For the exact pixel numbers behind a 5 by 7 at 300 ppi, the print size calculator works them out, and the trim, bleed and safe zone guide explains what the numbers mean.

Faces deserve the safe zone more than anything else. If a face sits right at the edge of a frame, nudge the photo inside the frame (double click or double tap it in Canva, then drag) so nobody loses an ear to the trimmer.

Changing colours without breaking the design

Templates are built so the colours agree with each other. When you change one, change its partners too: if the bow becomes lilac, the greeting text usually wants a deeper purple rather than the original cranberry. On my holiday card the ten bow colours are already inside the template as ready-made options, so you can try them without redrawing anything. The guide PDF that comes with the card shows where they are.

If you are unsure, duplicate the page first and experiment on the copy. You can delete it before you export.

When something goes wrong

The link opens the Etsy app, not the download

That happens when a receipt email link is tapped on a phone with the app installed. Open a browser, go to etsy.com yourself, and find the order under Purchases.

The template opens but I can’t edit it

You are probably still on the preview. Look for Use template and make your copy first.

A font looks different from the listing photos

Some fonts and elements in Canva are only included with paid plans. If something in your copy is marked that way and you are on a free account, pick a similar font from the font list yourself so you decide what it becomes.

My printer says the file has no bleed

Go back to Download, check that PDF Print is the file type, and that Crop marks and bleed is turned on. The Crop marks and bleed option only appears for PDF Print, not PDF Standard.

A short checklist before you print

  • Every name, date and time read aloud once, slowly.
  • The address checked against a map, not memory.
  • Show print bleed on: no white gaps at the edge.
  • Show margins on: nothing important outside the line.
  • PDF Print with Crop marks and bleed for the printer.

Every printer has its own size and bleed needs, so read theirs before you order. If you would rather I made the edits, simple edits to my shop template start at $10 depending on scope and are bought separately; tell me what you need.
